Village of Niles General Government/ IT Committee Met August 11

Village of Niles General Government/ IT Committee met Aug. 11.

Here is the minutes provided by the committee:

The following Voting Persons were in attendance: Chairman Niedermaier, Deputy Village Manager Skeffington-Vos, IT Director Shaw, and Resident Jeff David. Staff present: Kathy Thake, Evangeline Alpogianis, Katie Schneider, Katy Darr, John Melaniphy, and Margaret Keating.

1. Call to Order

The meeting was called to order at 9AM via by Chairman Niedermaier. Roll was taken by Deputy Village Clerk Keating and all Voting Persons were in attendance.

II. Approve Meeting Minutes - July 21, 2020

IT Director Bill Shaw made a motion, seconded by Resident Jeff David, to approve the minutes of the July 21, 2020 meeting. On voice vote, all concurred.

III. New Business

a. Assistant to Village Manager Thake, introduced Tom Collins, Dan Mackey, and Dane Mall of Alliant-Mesirow, to present their Professional Brokerage Services for Property & Casualty and Workers Compensation presentation. In an effort to obtain competitive pricing for service contracts, Village Administration issued a Request for Proposal for Professional Brokerage Services for Property & Casualty and Workers Compensation on June 17, 2020. Only two proposals were received: Dimond Brothers and Alliant/Mesirow Insurance Services. Pursuant their RFP, Mesirow Insurance Services presented to continue providing professional brokerage services. This contract is a multiyear contract encompassing calendar years 2021-2024. IT Director Bill Shaw made a motion, seconded by Resident Jeff David, to approve the proposal to go before the Board of Trustee's at the next Board of Trustees Meeting. On voice vote, all concurred.

b. IT Director Shaw is requesting permission from the GG/IT Committee to bring a Bid Award for the purchase of one year of Software and Subscription Services for VMWare from vCloud in the Amount of $28,309.80 covering the period of 8/31/20 to 8/30/21. IT Director Shaw advised VMWare provides Niles with our current Server and Desktop Virtualization Software Platform. The Village's license to use VMWare is about to expire on August 30, 2020 and we need to renew it for another year to maintain our operation. The IT Department went out to bid and received 3 bids. vCloud has provided the lowest qualified bid. Resident Jeff David made a motion, seconded by GG/IT Chair Niedermaier, to approve. On voice vote, all concurred.

IV. HR Updates

a. NEIU Tuition Reimbursement Program - Deputy Village Manager Hadley Skeffington-Vos announced a new tuition reimbursement program between the Village of Niles and North Eastern Illinois University. The Program now enables employees who are seeking to further their education to have the Village of Niles directly reimburse NEIU for their Village covered cost of tuition. GG/IT Chair Niedermaier, advised he believed this was an excellent benefit for Village employees looking to further their educations.
